QuickBooks Desktop has no cloud API, so it comes to ClockLap: the Web Connector asks what is new, one request at a time, and each record is sent once. Item mapping is the same as for QuickBooks Online.

How it works

  1. Add the connectionChoose Web Connector or IIF files.
  2. Web ConnectorMake a password, download the .qwc file, add it to the QuickBooks Web Connector and type the password. Tick Auto-Run.
  3. ItemsType the QuickBooks items for hours, materials, flat-rate lines and discounts, and the service or payroll item for time.
  4. DoneEvery run sends new and changed time and invoices. Anything QuickBooks refuses is listed with its reason and tried again next run.

Names

QuickBooks Desktop matches by name: people are sent as the employee with their ClockLap name, and clients and projects as customer and job.

What you need

  • QuickBooks Desktop Pro, Premier or Enterprise (Windows)
  • The QuickBooks Web Connector, or permission to import IIF files
  • Employees and items in QuickBooks with the same names

Every run keeps a history: who and what was sent, per-line results, plain-language errors with a fix, and a redacted request log for admins. Webhooks fire on connection.connected.

Questions

Does QuickBooks need to be open?

For the Web Connector, QuickBooks must be running on that computer (or allowed to open the company file). IIF files are imported by hand.

Is anything sent twice?

No. Each time entry and invoice version is sent once; a change deletes the old one in QuickBooks and adds the new one.

QuickBooks Online?

Use QuickBooks Online under Accounting, which sends invoices and payments over Intuit’s API.

Is the QuickBooks Desktop connection included in the price?

Yes. Every connection is part of every ClockLap plan: $1 per staff member and $2 per manager or admin a month, with no add-ons.

Is ClockLap affiliated with QuickBooks Desktop?

No. ClockLap connects to QuickBooks Desktop using its published API; it isn’t affiliated with or endorsed by QuickBooks Desktop. The connection is in beta while we verify it with live accounts.
